Job description
    1. Financial Planning and Budgeting:

    Assist in the development of program budgets, ensuring they are realistic, aligned with program goals, and compliant with donor requirements.

    • Monitor and review the financial status of programs to ensure they are within budgetary limits.
    • Support program teams in tracking expenses, ensuring proper allocation of funds.
    1. Accounting and Bookkeeping:
    • Perform day-to-day accounting tasks including maintaining financial records, journal entries, and reconciliation of accounts for program activities.
    • Ensure accurate posting of transactions in the organization’s financial system (e.g., accounting software, general ledger).
    • Process invoices, payments, and receipts, ensuring compliance with the organization’s financial policies.
    • Reconcile program-related accounts, including bank statements and cash transactions.
    • Ensure proper coding and allocation of expenditures to the correct programs and budget lines.
    1. Financial Reporting:
    • Prepare and submit financial reports for donor submissions, management, and stakeholders as per agreed timelines and formats.
    • Assist in the preparation of monthly, quarterly, and annual financial statements for program activities.
    • Review program expenditures and provide recommendations on any discrepancies or areas of concern.
    1. Compliance and Documentation:
    • Ensure all program financial activities are compliant with internal policies, donor regulations, and local laws.
    • Maintain proper documentation of all financial transactions, receipts, and invoices in line with auditing standards.
    • Assist with the preparation of financial documents for donor audits and monitoring visits.
    • Ensure accurate filing of accounting records in a timely and organized manner.
    1. Monitoring and Financial Control:
    • Regularly review program expenditures to ensure they are in line with the budget and donor regulations.
    • Implement and monitor internal controls to prevent financial mismanagement and ensure accountability.
    • Identify and report any financial discrepancies or concerns to the Finance Manager or relevant program lead.
    1. Payroll and Cash Management (if applicable):
    • Assist with payroll calculations and disbursements for program staff and consultants.
    • Manage cash flow for program activities, ensuring adequate funds are available for operations and that cash is handled securely.
    • Oversee petty cash management, ensuring appropriate documentation and replenishment.
    1. Capacity Building:
    • Provide financial training and support to program staff to ensure they understand financial management processes and best practices.
    • Assist in building the capacity of field office staff to manage finances and accounting in accordance with the organization’s standards and donor requirements.
    1. Stakeholder Coordination:
    • Collaborate with program managers and teams to ensure the timely and accurate allocation of financial resources.
    • Coordinate with external partners (including donors) on financial matters, including reporting and compliance.
    1. Other Duties:
    • Provide financial input in program planning, monitoring, and evaluations.
    • Participate in meetings and discussions related to financial planning, reporting, and implementation.
